Cancellation Policy

Payment Options

When you book, your payment method depends on how far in advance your check-in date is:

  • 20 or more days before check-in — you may pay 50% of the total reservation cost at the time of booking, with the remaining balance due 14 days before arrival. You also have the option to pay in full at the time of booking.
  • 19 days or fewer before check-in — full payment is required at the time of booking.

Cancellation & Refunds

If you need to cancel, the amount refunded depends on when you cancel and how much you have paid at the time of cancellation.

  • Cancellation 14 or more days before check-in — 50% of the total reservation cost will be refunded. If you have only paid 50% of the total at the time of cancellation, no refund is due, as the amount paid equals the retained portion.
  • Cancellation fewer than 14 days before check-in — no refund will be issued, regardless of the amount paid.

In all cases, 50% of the total reservation cost is retained by Cartagena Vacation Rentals.

Examples

Example A: $1,000 reservation, cancelled 20 days before check-in, 50% paid at booking

  • Retained by CVR: $500
  • Refunded to guest: $0 (amount paid equals retained portion)

Example B: $1,000 reservation, cancelled 20 days before check-in, 100% paid at booking

  • Retained by CVR: $500
  • Refunded to guest: $500

Example C: $1,000 reservation, cancelled 10 days before check-in

  • Retained by CVR: $500
  • Refunded to guest: $0 (cancellation within 14 days — no refund regardless of amount paid)

How to Cancel

To cancel your reservation, send a written request to info@vacationcartagena.com with your name, reservation dates, and property name. Cancellations are processed according to the schedule above.

Note on extraordinary circumstances: No refunds are issued for circumstances beyond our reasonable control, including acts of God, government actions or travel restrictions, severe weather, civil disturbances, or other extraordinary events. We recommend purchasing travel insurance to protect your booking.

Rental Terms & Guest Agreement

By making a reservation and checking into the property, you (the Guest) agree to the following terms and conditions, which form a binding agreement between you and Cartagena Vacation Rentals (the “Rental Agent”).

Occupancy

  • The property may not be occupied by more than the maximum number of guests stated in your reservation.
  • All guests must comply with this Agreement and applicable local laws.
  • Any guests beyond the booked party require prior written approval from Cartagena Vacation Rentals.

Property Use & Guest Responsibilities

You agree to use the property for residential purposes only and to leave it in the same condition in which it was found. Specifically, you agree to:

  • Keep the property clean and sanitary throughout your stay
  • Avoid damage to the property or its furnishings
  • Respect neighbors — keep noise at reasonable levels, especially after 10:00 PM
  • Not use the property for any illegal, commercial, or event-based purpose without prior written approval
  • Comply with all applicable local laws, regulations, and building or community rules

Amenities & Maintenance

We make every effort to ensure all amenities — including internet, air conditioning, pools, hot tubs, appliances, and entertainment systems — are in working order prior to your arrival. If something is not functioning during your stay:

Cartagena Vacation Rentals is not liable for mechanical failures or service outages beyond our control, but we are committed to resolving them as quickly as possible.

Pool & hot tub use: Use of pools, hot tubs, and similar amenities is at your own risk. Please use them responsibly. Cartagena Vacation Rentals is not responsible for injuries or accidents resulting from improper or unsafe use.

Personal Property & Liability

All personal property brought into the property by you or your guests is at your sole risk. Cartagena Vacation Rentals assumes no responsibility for theft, loss, or damage to personal belongings.

You agree to hold Cartagena Vacation Rentals, the property owner, and all associated parties harmless from any claims, damages, or liabilities arising from:

  • Damage to the property caused by you or your guests
  • Personal injury or accident occurring at the property
  • Use of any property amenity or facility

Damage & Non-Compliance

If you fail to comply with this Agreement or cause damage to the property:

  • You may be required to vacate the property immediately
  • No portion of rental fees will be refunded
  • You remain liable for the full cost of any damage repairs
  • Cartagena Vacation Rentals reserves the right to pursue legal action to recover costs

Property Entry & Inspection

We reserve the right to enter the property for inspection with a minimum of 48 hours advance notice. In the event of an emergency posing imminent danger to persons or property, entry may occur without prior notice.

Check-In & Check-Out

  • Check-in: 1:00 PM
  • Check-out: 11:00 AM

If you share your estimated arrival time in advance, we will do our best to have the property ready for you. Late check-out is subject to availability and may incur additional fees.

General Provisions

  • Entire Agreement: This Agreement constitutes the complete agreement between the parties. Any modifications must be made in writing and agreed to by both parties.
  • Governing Law: This Agreement is governed by the laws of the Republic of Colombia.
  • Severability: If any provision is found to be invalid, the remainder of the Agreement remains in full effect.
  • Waiver: Failure to enforce any provision does not constitute a waiver of any other provision.
  • Digital Signatures: Digital or electronic signatures are deemed valid for the purpose of executing this Agreement.
